Description
The Loss Control Assistant is responsible for helping in identifying, evaluating, and mitigating risks associated with daily operations. This role works closely with the Loss Control Administrator, operations management and operations personnel to report, track, and coordinate claims. The ideal candidate is a detail-oriented professional with a strong background in loss control administration. They thrive in fast-paced environments, maintain a high degree of confidentiality, and possess excellent communication skills. They are well versed in state and federal laws, capable of analyzing trends, and proactive in recommending improvements to reduce claims and associated costs. A collaborative mindset and strong follow-up skills are key traits for success in this role.
Key Responsibilities
Claims Management:
• Investigate vehicle accidents, injuries, and damage claims.
• Collect statements, evidence, estimates, etc. and prepare detailed reports.
• Report and file claims promptly with insurance carriers or third-party administrators.
• Collaborate with insurance brokers and adjusters on claim resolution.
• Monitor and manage open claims to ensure timely processing and resolution.
• Act as a liaison between injured employees, insurance providers, healthcare providers, attorneys, and internal stakeholders.
Compliance & Documentation:
• Maintain accurate and confidential records of claims, injuries, and correspondence.
• Ensure compliance with all state and federal laws and OSHA regulations.
• Complete and submit required documentation such as OSHA 300 logs.
Return to Work Program:
• Coordinate light-duty or modified work assignments for employees returning from injury.
• Collaborate with managers and medical providers to facilitate smooth transitions back to work.
• Track work restrictions and follow up on accommodations as needed.
Communication & Support:
• Provide regular updates and guidance to claimants regarding the status of their claims.
• Provide guidance to injured employees regarding their rights, benefits, and responsibilities under workers’ compensation laws.
• Maintain clear communication with supervisors and other stakeholders regarding the status of damage claims and injured workers.
• Educate employees and supervisors about the workers’ compensation process and safety practices.
Analysis & Reporting:
• Analyze trends in claims, accidents, and near-misses to identify root causes; provide regular reports to stakeholders.
• Analyze injury trends and claim costs; provide regular reports to stakeholders.
• Recommend safety or procedural changes to help reduce accidents, workplace injuries, and costs.
• Work closely with the safety department to identify risks and preventative strategies.
Qualifications
• Strong written and verbal communication, investigative, and organizational skills with attention to detail.
• Excellent internal and external customer service skills with the ability to de-escalate situations as needed.
• Familiarity with workers’ compensation laws, OSHA requirements, and injury reporting procedures.
• Ability to maintain confidentiality and manage sensitive information.
• Proficient in Microsoft Office Suite (Excel, Word); claims management systems and telematics systems are preferred.
Minimum Requirements
• 2+ years of progressive experience in an office environment.
• Experience in loss control and/or workers’ compensation is preferred.
Working Conditions
• The job is normally performed indoors. The ability to remain stationary for extended periods of time, as well as the ability to move about the office occasionally, is required.
• While heavy lifting is not required, the ability to occasionally exert 10-20 lbs. of force is required.
• Good manual dexterity is required to use common office equipment in an office environment.
• Local travel may be required for hearings, meetings, etc.
• Work hours are generally Monday – Friday, 8:30 am – 5:00 pm.
